What is available?

Interlibrary Loan (ILL) provides access to the Washington State University (WSU) Libraries’ collections for non-WSU libraries. Monographs, periodicals, newspapers, and theses/dissertations are available in print, digital, and microform formats. Some library materials may not be available through interlibrary loan. In general, material on Reserve, in Reference, in MASC, or on Hold will not be circulated. Dissertations will be loaned in microform format to libraries outside Washington, Oregon, Idaho, Alaska, Montana, Alberta, and British Columbia (paper copies, if available, may be loaned to libraries in those states or Canadian Provinces). Periodicals do not circulate except in very special circumstances. Occasionally restrictions such as In-Library Use Only or shorter loan periods may apply to loaned material. We are not able to place holds on items for Interlibrary Loan or to retain requests for items currently in use: libraries should submit a new request at a later date for items reported as ‘in use’.

Media Borrowing

The WSU Libraries holds a large collection of VHS, CDs, DVDs and 16 mm film titles. The material is shipped via commercial courier so that tracking of the shipment is possible. It must be returned in a similar traceable manner such as by UPS, FedEx, or insured First Class Mail (USPS). The borrowing fee is $20 for each title. Return borrowed media in boxes, foam bags, or bubble bags only to prevent damage. Adequate insurance is strongly recommended.

Loan Periods

The standard loan period is four (4) weeks from date of receipt with 2-week renewals on a case by case basis. Overdue items are never renewed. Media is loaned for 2 weeks, with renewals for two additional weeks on a case by case basis.

Accepted Forms of Requests

Requests may be submitted via OCLC, DOCLINE, or RAPID. Telephone requests are not accepted. For this lending service, requests must originate from another library or organization; requests from individuals are not accepted. Requests should include:
  • Complete citation information for the material being requested.
  • Verification information when available.
  • Complete bill–to and ship–to addresses.
  • Approval of fees.
  • Appropriate Copyright Compliance statements where applicable.
  • Instructions regarding any special handling required (rush or expedited shipment, etc.)

Fees (in US Dollars)

  • For libraries representing agencies/institutions in the United States or the provinces of British Columbia and Alberta, Canada: payment via IFM or other electronic funds transfer method $12 per basic transaction fee, and an additional $2 per transaction surcharge for requests that must be invoiced.
  • For requests from libraries outside the United States, excluding British Columbia and Alberta provinces $18 (or 2 IFLA Coupons) per transaction basic fee.
  • For libraries representing for-profit entities (This fee is not charged to special constituents such as the veterinarians served by the Animal Health Library) $20 per request surcharge.
All current reciprocal/consortium agreements will remain in effect. Reciprocal agreements are considered on a case-by-case basis. DOCLINE requestswill follow the National Library of Medicine Standards for fees. Loansome Doc customers will be charged at the base rate plus appropriate surcharge(s) for items filled from WSU collections. There will be an additional $10 fee for requests referred to and filled by other libraries.

Photocopies

Photocopies of journal articles will be provided up to a maximum of 100 pages. We cannot provide photocopies of dissertations, theses, or other complete works without written permission from the author or copyright holder. It is the responsibility of the requesting library to obtain this permission.

Affiliations and Reciprocal Agreements

Washington State University Libraries is a member of the Greater Western Library Alliance (GWLA, formerly Big Twelve Plus), RAPID, the Inland Council of Libraries (INCOL), the Inland Northwest Health Sciences Libraries (INWHSL), the Washington State Cooperative Library Project, and has reciprocal agreements with several other libraries. We will consider reciprocal agreements on a case-by-case basis.

Returns and Renewals

Returned material must be packaged appropriately to avoid damage in shipment. Microfilm reels must always be packaged and returned in a box – no jiffy bags or other padded envelopes. Microfilms must also be returned via First Class mail. International returns must be shipped via Air Mail. Interlibrary Loan materials are renewed for 2 weeks on a case by case basis. The borrowing library should never assume an automatic extension.

Overdue and Lost Material

When a loaned item becomes overdue, an overdue notice will be sent to the borrowing library. If the item does not return, a charge for replacement is determined and a billing letter is sent to the borrowing library. The minimum replacement charge for lost ILL material is $100 plus a non-refundable $25 service fee. If the material does not return, the borrowing library will be invoiced. The replacement cost, overdue fines, and service charges are refundable should the material return to our library within six (6) months of the invoice date.
